1. Organisational Context

Impact Catalysts is a mission-driven management and advisory company that provides high-quality, cost-effective, and sustainable solutions across the healthcare, education, agriculture, and environment sectors. The organization works with government institutions, development partners, private-sector organizations, and communities to design and deliver programmes, projects and services that improve outcomes across these sectors.

As Impact Catalysts grows in organisational scale, project portfolio and geographic reach, it requires strong and coordinated business-operating systems that enable programme and project teams to work effectively. This includes efficient corporate administration, project-support processes, procurement and logistics coordination, personnel administration, contract and records management, compliance support, facilities management and consistent operating practices across headquarters and other locations.

2. Role Purpose

The Business Operations Manager is responsible for coordinating and strengthening Impact Catalysts’ internal business operations, corporate administration and project-support systems. The role ensures that the organisation operates efficiently, consistently and compliantly and that programme and project teams receive timely and effective operational support.

Working under the direction of the Director of Compliance and Corporate Services, the role supports the implementation and continuous improvement of the systems, processes, controls and shared services required for effective organisational and project operations. The position does not have responsibility for technical programme implementation, programme performance or ownership of project deliverables.

3. Key Responsibilities

3.1 Business Operations and Process Improvement

  • Coordinate the day-to-day implementation of the organization’s business operations, administrative systems and corporate processes.
  • Develop, maintain and support the consistent application of operational policies, procedures, workflows, standard operating procedures and internal controls, ensuring that actions are appropriately documented and followed through.
  • Review existing processes, identify gaps, inefficiencies and bottlenecks, and recommend practical improvements.
  • Promote the effective use of digital tools for operational tracking, approvals, records management and document control.

3.2 Programme and Project Support

  • Coordinate the administrative and operational support required for programme and project mobilization, implementation and close-out.
  • Work with programme and projects leads to identify and plan staffing, procurement, travel, logistics, meetings, workshop and documentation requirements.
  • Track project-support actions, timelines and dependencies, maintain complete and accessible administrative records, and escalate unresolved operational issues as required.
  • Support programme and project teams to comply with organizational policies, approved procedures and applicable contractual requirements.
  • Provide operational support without assuming responsibility for technical implementation, programme performance or ownership of project deliverables.

3.3 Corporate Services and Administration

  • Coordinate office administration, facilities, utilities, workplace services, travel, accommodation, meetings, workshops and other logistical arrangements across headquarters and other operational locations.
  • Coordinate procurement, logistics, inventory, asset management and vendor-management processes in accordance with approved policies and delegated authorities.
  • Maintain accurate and up-to-date records of organizational assets, equipment, supplies, vendors and service providers.
  • Support the administrative establishment and operational readiness of new offices, state operations and project locations.
  • Coordinate recruitment administration, onboarding, personnel records, leave administration, benefits, staff welfare and other approved human-resource processes.

3.4 Compliance, Contracts and Records

  • Maintain systems, registers and calendars and coordinate the timely preparation, renewal, submission and filing of statutory, regulatory, insurance, employment and other required corporate documentation.
  • Maintain organized corporate, governance, personnel, vendor, contract and operational records.
  • Coordinate contract administration, including documentation, internal approvals, execution, obligations tracking, renewals, amendments and close-out.
  • Facilitate legal, regulatory or specialist review where required.
  • Support the implementation of approved governance, procurement, related-party and compliance requirements.

3.5 Operational Coordination and Reporting

  • Prepare periodic operational updates, dashboards and reports for the Director of Compliance and Corporate Services.
  • Track and escalate material operational risks, unresolved actions, compliance obligations and management decisions requiring follow-up.
  • Coordinate operational follow-up across programme, finance, corporate services and state teams.
  • Liaise with vendors, service providers, insurers, regulators and external advisers on authorised operational matters.
  • Undertake other related business-operations and corporate-services responsibilities assigned by the Director of Compliance and Corporate Services, consistent with the purpose and level of the position.

4. Qualifications and Experience

Essential

  • Bachelor’s degree in business administration, Management, Public Administration, Operations Management or another relevant discipline.
  • Minimum of seven years’ progressively responsible experience in business operations, corporate services, administration, project support or a related function.
  • At least three years’ experience in a managerial, supervisory or equivalent role involving coordination across multiple business functions or teams.
  • Demonstrated experience across several business-operations functions, including corporate administration, procurement, logistics, facilities, vendor management, human-resource administration, contracts administration or compliance support.
  • Demonstrated experience providing operational and administrative support to multiple programmes or projects.
  • Experience developing, implementing or improving operational procedures, workflows, controls and administrative systems.
  • Proficiency in Microsoft Office or comparable productivity tools and familiarity with digital systems for document management, workflow tracking, procurement, HR administration or operational reporting.

Desirable

  • A relevant postgraduate qualification or recognized professional certification.
  • Experience working in a consulting, professional services, development, donor-funded or multi-project environment.
  • Experience coordinating operations across multiple offices, project locations or geographically dispersed teams.
  • Experience in contract administration, corporate documentation or compliance coordination.

5. Qualifications and Experience

  • Strong planning, organisation and coordination skills, with the ability to manage multiple priorities and follow actions through to completion.
  • Systems and process-improvement orientation, with attention to efficiency, consistency and appropriate internal controls.
  • Strong attention to detail and commitment to accurate, complete and well-organised documentation.
  • Effective written and verbal communication skills and the ability to work constructively across programme, finance, management and support functions.
  • Ability to engage professionally with vendors, service providers, regulators and other external stakeholders.
  • High standards of integrity, confidentiality, accountability and professionalism.
  • Ability to work independently, exercise sound judgement and escalate issues appropriately.
